The Department of Public Safety and Correctional Services (DPSCS) is seeking dedicated candidates to fill important roles within our department. This is a Special Appointment position with the Department of Public Safety and Correctional Services (DPSCS). The incumbent serves at the pleasure of the appointing authority.

POSITION DUTIES

The Executive Assistant serves as support staff for the Secretary of the Maryland Department of Public Safety & Correctional Services. The Executive Assistant is responsible for reviewing and handling correspondence and inquiries related to the Office of the Secretary. Additional responsibilities include:

  • Researches and compiles information as directed by the Secretary of the Maryland Department of Public Safety & Correctional Services and Deputy Secretary of the Maryland Department of Public Safety & Correctional Services
  • Reviews reports and incoming mail to identify and assist in preparing correspondence transmitting items of interest or concern to various departmental staff.
  • Acts as the appointment officer to schedule meetings for the Secretary of the Maryland Department of Public Safety & Correctional Services and Deputy Secretary of the Maryland Department of Public Safety & Correctional Services to attend as well as obtain the necessary documentation and information prior to the meeting.
  • Serves as the direct representative of the Secretary of the Maryland Department of Public Safety & Correctional Services in meetings and conferences and relays all information that was transmitted.
  • Serves and interacts with the Governor’s office, legislators, and other state agencies on a daily basis.
  • Works on sensitive and confidential projects requiring discretion and judgment in the release of information.
  • On Call 24/7 as needed. 

MINIMUM QUALIFICATIONS

Education: Possession of High School Diploma or GED.

Experience:

• Minimum of 5–7 years of experience supporting senior executives, preferably in a large, complex organization or government agency.
• Demonstrated experience supporting Cabinet-level or senior government leaders, including managing sensitive information, strategic calendars, and high-level communications.
• Proven ability to manage and support special projects in coordination with 200+ executive leaders, including scheduling, meeting coordination, material preparation, and project tracking.
• Exceptional written and verbal communication skills, with the ability to draft, proofread, and edit executive-level memos, briefings, and official correspondence.
• Ability to prepare and send responses on behalf of the Secretary, ensuring alignment with departmental priorities, tone, and confidentiality expectations.
• Experience working with internal and external stakeholders at all levels, including government officials, senior leadership, and community partners.
• Strong organizational and prioritization skills, with the ability to manage competing deadlines and multiple confidential work streams simultaneously.

DESIRED OR PREFERRED QUALIFICATIONS

  • Experience using a high degree of discretion, integrity, and professionalism when handling sensitive and confidential matters.
  • Experience using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and project management tools such as Smartsheet, Asana, or Microsoft Teams.
  • Experience working independently and proactively in a fast-paced, high-pressure environment.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification will be assigned duties which require the operation of a motor vehicle.

· Personal Leave - new State employees are awarded six (6) personnel days annually (prorated based on start date)
· Annual Leave - ten (10) days of accumulated annual leave per year
· Sick Leave - fifteen (15) days of accumulated sick leave per year 
· Parental Leave - up to sixty (60) days of paid parental leave upon the birth or adoption of a child 
· Holidays - State employees also celebrate at least twelve (12) holidays per year
· Pension - State employees earn credit towards a retirement pension
